How to Craft an ATS-Friendly Resume That Gets You Hired

Getting past the Applicant Tracking System (ATS) is the first hurdle in your job search. Studies show that up to 75% of resumes never reach human eyes because they fail ATS screening. Here's how to make sure yours stands out.

What is an ATS?

An Applicant Tracking System is software that companies use to filter, scan, and rank job applications. It searches for keywords, qualifications, and formatting that match the job description. If your resume doesn't pass this automated screening, a recruiter will never see it.

Key Principles for ATS Success

1. Use a Clean, Single-Column Format

ATS systems struggle with complex layouts. Avoid:

  • Multiple columns
  • Text boxes
  • Headers and footers (critical information gets lost)
  • Tables for layout purposes
  • Graphics, icons, or images
  • Fancy fonts or colors

Stick to a simple, top-to-bottom flow that any system can read.

2. Choose the Right File Format

  • DOCX is safest – Most ATS systems parse Word documents reliably
  • PDF can work but may cause parsing issues with some older systems
  • Never use JPG, PNG, or other image formats

3. Use Standard Section Headers

ATS systems look for conventional headers. Use these exact terms:

  • Professional Summary (or Summary)
  • Work Experience (or Experience)
  • Education
  • Skills
  • Certifications

Avoid creative alternatives like "Where I've Made an Impact" or "My Journey" – the ATS won't recognize them.

4. Optimize for Keywords

This is where most candidates fail. Here's how to do it right:

Step 1: Analyze the job description Highlight specific skills, qualifications, and terms mentioned multiple times.

Step 2: Mirror the language If the job says "project management," don't write "managing projects." Use the exact phrase.

Step 3: Include both acronyms and full terms Write "Search Engine Optimization (SEO)" so you match either search.

Step 4: Integrate naturally Don't keyword-stuff. Work terms into your achievements and descriptions.

5. Quantify Your Achievements

Numbers catch both ATS algorithms and human recruiters' attention:

❌ "Improved sales performance"
✅ "Increased quarterly sales by 32%, generating $150K in new revenue"

❌ "Managed a team"
✅ "Led a cross-functional team of 8 members across 3 departments"

6. Use Strong Action Verbs

Start each bullet point with a powerful verb:

Instead of...Use...
Responsible forLed, Managed, Directed
Helped withCollaborated, Contributed, Supported
Worked onDeveloped, Implemented, Executed
DidAchieved, Delivered, Accomplished

7. Tailor Every Application

One-size-fits-all doesn't work. For each job:

  1. Read the job description thoroughly
  2. Identify the top 5-7 requirements
  3. Ensure your resume addresses each one
  4. Rearrange bullet points to lead with the most relevant experience

Common Mistakes to Avoid

  1. Using "References Available Upon Request" – It's outdated and wastes space

  4. Going over two pages – One page for early career, two max for experienced professionals
  5. Using generic descriptions – Customize every bullet point
